Human Resources Associate
Description
The Human Resources Associate performs complex administrative assistant duties for the Director of Human Resources and serves as the first line authority for the implementation of HR policies and procedures. The HR Associate maintains personnel files, conducts all new employee orientations, initiates the email and IT account process for all regular, temporary and adjunct employees; and administers in-processing and out-processing with employees. The HR Associate completes annual surveys for various accrediting agencies, manages the vacant position listings on the employment website, and supervises the applicant processor.
Responsibilities
- Serve as the first line authority for the implementation of human resources (HR) policies and procedures.
- Set-up and maintain employee personnel files, records and data in electronic form in the personnel system and in hard copy form in filing system.
- Conduct background checks, including criminal and driver's records for regular and temporary employees and volunteers.Ìý
- Arrange interviews for potential new hire candidates with HR director, organize candidate file and documents needed.
- Initiate CIU network account set-up for all new employees, adjuncts, temporary workers and coaches, as well as set-up new employees on the benefit website for benefit enrollment.
- Orient new employees to CIU handbook, policies and procedures and benefits.Ìý
- Organize and oversee the annual New Employee Orientation and help lead Supervisor Policy Manual training sessions as scheduled.
- Ensure employees are entered in personnel system with appropriate position code and obtain required forms for personnel file and payroll processing.
- Respond to questions about benefits and set up life event enrollments when an employee has a change.
- Process employee terminations; send checklist and forms to employee; schedule exit interviews; and update database and employee file.
- Process vacancy requests including correspondence with supervisors, assisting them in the process of posting the vacancy; post and remove the vacancy on various web sites.
- Supervise the applicant processor and oversee the job applicant process; respond to questions received by phone/email and in person regarding position vacancies and applications.
- Process monthly credit card statement and submit departmental bills through accounting module.Ìý
- Through database management, compile data for moderately complex internal and external reports and surveys (e.g. IPEDS, ATS, and ABHE).
- Perform other administrative assistant duties including word processing, scheduling appointments, maintaining forms and office supplies, distributing and tracking various forms sent to supervisors and employees (e.g., handbook, performance appraisals, orientation checklist, affirmation statements).

Qualifications
- Ability to meet and deal tactfully and congenially with associates and the general public.
- Skill in composition, typing accurately with reasonable speed (50 wpm) a variety of correspondence, reports, and other materials.
- Experience with Microsoft Office Suite; proven computer, data entry and management skills.
- Experience with Jenzabar One helpful.
- Proven skill in office procedures, planning and organizing.
- Ability to analyze problems and come to a reasonable solution.
- Possessing patience, fair-mindedness, and integrity.
- Emotionally stable and flexible to deal with the unexpected.
- Ability to discern and maintain confidentiality.
- Bachelor’s degree.
- Five years of experience as an executive level administrative assistant.Ìý
- At least one year of experience in human resources office preferred.
